How to apply for jobs in a way that actually gets replies

Volume is not a strategy. A repeatable weekly system — targeting, tailoring, timing and follow-up — beats 200 blind applications.

Pick 10 roles, not 100

Most rejections are not rejections of you — they are the result of applying to roles where you match 40% of the requirements. Build a shortlist of ten roles per week where you clearly meet the core requirements, and treat each one as a small project rather than a form to fill.

A useful filter: if you cannot name three bullets on your CV that directly evidence the top three requirements in the posting, skip it.

The 20-minute application

Give every application the same repeatable pass:

  • Read the posting twice and highlight the five recurring keywords
  • Mirror those exact terms in your summary and top three bullets
  • Re-order your skills section so the required ones appear first
  • Run an ATS scan against the job description and close the gaps
  • Save the tailored version with the company name in the filename

Timing matters more than people think

Applications submitted in the first 72 hours after a posting goes live are reviewed while the shortlist is still open. After roughly two weeks, most requisitions already have candidates in process, and late applicants are compared against people who have already interviewed well.

Set alerts on the job boards you trust and apply the same day you see a strong match.

Follow up once, well

Five to seven working days after applying, send one short message to the hiring manager or recruiter: who you are, the role, one sentence of relevant proof, and a clear question about the timeline. One follow-up is professional; three is noise.

Track everything

Keep a simple sheet: company, role, date applied, CV version, source, status. After 20 applications the pattern becomes obvious — which sources reply, which CV version converts, and where you are losing people.
